Cancellation Policy

We understand that plans can change. This policy outlines the terms governing cancellations, amendments, and refunds for all tours operated by Wander and Wonder Tours. Please read these terms carefully before confirming your booking.

General Cancellation Terms

All cancellation requests must be submitted in writing to bookings@wanderandwonderug.com. The cancellation date is the date on which we receive your written notification. Verbal cancellations over phone or WhatsApp are not accepted as formal notice.

Cancellation fees are calculated as a percentage of the total tour cost confirmed at the time of booking, inclusive of all services, accommodation, and park fees arranged on your behalf.

Cancellation Fee Schedule

The following schedule applies to all standard Uganda safari and gorilla trekking tours:

Gorilla and Chimpanzee Trekking Permits

Gorilla trekking and chimpanzee tracking permits are issued by the Uganda Wildlife Authority (UWA) and are strictly non-refundable once purchased. These permits cannot be transferred to another person or rescheduled without written authorisation from UWA.

If UWA approves a permit reschedule at their discretion, an administrative fee of USD 50 per permit will be charged by Wander and Wonder Tours in addition to any applicable UWA fees.

Important: We strongly recommend purchasing comprehensive travel insurance that covers trip cancellation, including permit costs, prior to confirming your booking. We can assist you with information on suitable policies upon request.

Amendments and Date Changes

Requests to amend travel dates or tour itineraries must be received at least 45 days before the original departure date. Amendments are subject to availability and may incur additional costs based on prevailing rates at the time of change.

Wander and Wonder Tours will make every reasonable effort to accommodate date change requests, though we cannot guarantee availability of specific lodges, permits, or guides. Amendments are not treated as cancellations, provided they are received within the permissible window.

Cancellations by Wander and Wonder Tours

In the rare event that Wander and Wonder Tours must cancel your tour due to circumstances within our control, you will receive a full refund of all monies paid within 21 business days. We will also assist you in rebooking at the next available opportunity at no additional cost.

Wander and Wonder Tours reserves the right to cancel or modify tours in cases of force majeure, including but not limited to natural disasters, government travel advisories, civil unrest, pandemic-related restrictions, or other events beyond our reasonable control. In such cases, a credit note will be issued valid for 24 months.

No-Show Policy

Failure to arrive at the designated meeting point on the scheduled departure date without prior written notice constitutes a no-show. No refund will be issued for no-shows. This includes failure to obtain the required travel documents or visas.

Refund Processing

All approved refunds will be processed within 21 business days of receiving written confirmation of cancellation. Refunds are returned via the original payment method where possible. Bank transfer charges, currency conversion fees, and any third-party transaction costs are borne by the client and will be deducted from the refund amount.

Refunds will not include any costs already committed to third-party suppliers on the client's behalf, including accommodation deposits, park fees, and domestic transfer reservations.

Travel Insurance

Wander and Wonder Tours strongly advises all clients to take out comprehensive travel insurance at the time of booking. Insurance should cover trip cancellation, medical emergencies, evacuation, loss of luggage, and personal liability. We are not responsible for losses arising from inadequate insurance coverage.

Contact for Cancellations

To initiate a cancellation, please contact us in writing as early as possible. All formal cancellation requests must be sent to the booking email address below. Please include your booking reference number, full names of all travellers, and your confirmed travel dates.
