Wander and Wonder Tours Uganda
Cancellation and Refund Policy
Plans change, and we believe you deserve honest answers before you commit. Here is exactly what happens to your payments if your journey changes, explained plainly and fairly, with particular care for gorilla and chimpanzee permits.
Our Approach
A Uganda safari is built months ahead. The moment you confirm, we begin securing permits, lodges, vehicles and guides in your name, and most of these costs are paid to suppliers in advance. This policy reflects the commitments we make on your behalf, while keeping you informed at every step.
This policy should be read together with our Booking Terms and Conditions.
Gorilla and Chimpanzee Permits
Permits are the most protected part of any Uganda journey. They are issued by the Uganda Wildlife Authority in limited daily numbers, and we pay for them in full when we secure your dates.
- Gorilla trekking, gorilla habituation and chimpanzee tracking permits are generally not refundable once purchased.
- Permits cannot be exchanged for cash, and are not transferable to another person.
- Date changes are possible only where the Authority permits them and where space is available on the new date. Any difference in cost is paid by the traveller.
- If a permit cannot be used because of illness, late arrival or a missed trek, no refund is available from the Authority or from us.
- If the Authority cancels a trek or closes a park, we will pursue a refund or a replacement permit on your behalf and pass on whatever is returned to us.
Because permit rules and prices are set by the Authority and can change, we confirm the exact conditions on your quotation before you pay.
Cancellation Charges
The charges below apply to the total tour cost and are counted from the date we receive your written cancellation until your arrival date.
| Days Before Arrival | Cancellation Charge |
|---|---|
| 91 days or more | Deposit of 30 percent retained |
| 61 to 90 days | 50 percent of the tour cost |
| 31 to 60 days | 75 percent of the tour cost |
| 30 days or fewer, or no show | 100 percent of the tour cost |
Lodges and Suppliers
Many lodges, camps and transport partners apply their own cancellation conditions, and these can be stricter than the schedule above, especially in peak season from June to September and December to February.
Where a supplier condition applies to your booking, your consultant will tell you before you confirm. Any supplier charge that we cannot recover is included in your cancellation charge.
Date Changes and Rebooking
If your plans shift, a new date is often kinder than a cancellation. Here is how we approach it.
If We Cancel
In the unlikely event that we must cancel your safari for a reason within our control, you will be offered a full refund of every payment made to us, or a rebooking of equal or better standard at no extra charge. The choice is yours.
If your journey cannot proceed as planned because of road, weather or safety conditions, we will propose a suitable alternative itinerary before any cancellation is considered.
Unforeseen Events
Events beyond anyone's control, such as natural disasters, epidemics, border closures, government restrictions or airline disruption, may affect your travel. In these situations we will work tirelessly with our suppliers to recover what can be recovered and to rebook your safari.
Refunds will depend on what each supplier and the Uganda Wildlife Authority return to us, and costs already committed on your behalf may not be recoverable. For this reason, travel insurance is essential.
How to Cancel
- Send your cancellation in writing to bookings@wanderandwonderug.com from the lead traveller's email address, quoting your booking name and arrival date.
- Cancellations made by phone or WhatsApp must be confirmed by email to be valid.
- We will reply within one working day with your written cancellation statement, showing the charge and any amount due back to you.
How Refunds Are Paid
- Refunds are returned by the same method used to pay wherever possible, and in the same currency.
- Eligible refunds are processed within 14 working days of your cancellation statement being agreed.
- Bank charges, card fees and exchange rate differences are deducted from the refund where they apply.
- Refunds from suppliers or the Authority may take longer, and we will update you as they arrive.
Protecting Your Investment
We strongly recommend comprehensive travel insurance with trip cancellation and curtailment cover, bought on the day you pay your deposit. It can cover cancellation charges, including non recoverable permit costs, when you must cancel for covered reasons such as serious illness, injury or family emergency.
